Terms & Conditions of entry on behalf of ‘If Alice Can Anyone Can Cycle Ride’

Hope Against Cancer Booking Terms and Conditions:

1. This agreement is between Hope Against Cancer, Alice Greaves and you and relates to your proposed participation in the ‘If Alice Can anyone can Cycle Ride’ (referred to as ‘The Challenge')

2. This agreement will come into force when your registration has been accepted to take part in the event.

3. Hope Against Cancer and Alice Greaves reserve the right not to accept your application for registration, in which case your registration entry fee will be returned.

4. The purpose of this agreement is:
 4.1 to enable you to take part in the Challenge so that you can use your participation in it to raise money for Hope Against Cancer; and
 4.2 to set out your obligations and Hope Against Cancer and Alice Greaves’s obligations in relation to the Challenge.

5. The event is jointly organised by Hope Against Cancer and Alice Greaves.

6. If you are selected to take part in the event (in accordance with clauses 8, and 9 below) you will have a direct contract with Hope Against Cancer and Alice Greaves.

7. All enquiries and requests for information before departure will be handled by Hope Against Cancer and Alice Greaves whose contact details are set out in Ride Summary and website. You acknowledge that you will be contacted by email, phone, SMS, WhatsApp, and post in relation to the specific event you have registered for, ensuring Hope Against Cancer and Alice Greaves can deliver the necessary administration and communication required to complete your successful participation in the event. Unless you opt out on the online entry form, you will be added to the event WhatsApp group, which consists of all participants and organisers to keep you informed of training rides and information relevant to the ride.

8. To be eligible for the event you must:
 8.1 complete the registration form and return it to Hope Against Cancer with a NON-REFUNDABLE initial Entry Fee, total £30; commit to raise additional minimum sponsorship of £300; and
 8.2 be over 18 at the time of booking, unless otherwise agreed by both Hope Against Cancer and Alice Greaves; and
 8.3 raise 50% of the sponsorship (£150) by the day of departure (23rd August 2025) with the remaining 50% sponsorship due 28 days after completion of the ride (20th September 2025)
 8.4 It is important that everyone is well prepared to avoid unduly hindering or delaying the progress of the Cycle Challenge. We stress again that, for your own benefit, pre-event training is essential. Hope Against Cancer and Alice Greaves reserve the right, should it be necessary, to assess your ability to complete the Cycle Challenge prior to departure.

9. You will only be entitled to take part in the event if you undertake or agree with the following:
9.1 Hope Against Cancer receives from you the initial sum specified on the registration form; and
9.2 You have provided Hope Against Cancer with a satisfactory reply to a medical questionnaire or have provided a doctor's certificate indicating that you are sufficiently fit and healthy to take part in the Cycle Challenge without serious risk to your health and safety or the health and safety of others. The event which you are registering for is physically challenging and may pose a risk of discomfort, illness, injury, and even death. You need to be satisfied that you are physically capable of doing the event without undue risk to your health or life. We do not conduct health or fitness checks on entrants and the responsibility for your ability to participate in the event is with you as the participant.
9.3 Hope Against Cancer (acting reasonably) is satisfied that your participation in the event is not likely to have a detrimental effect on the morale of the participants as a whole so as to make it likely that other participants will fail to complete the Cycle Challenge. You acknowledge you are fully responsible for your participation in the Event and both Hope Against Cancer and Alice Greaves do not accept responsibility or liability for any loss or damage arising from the Event.

10 Hope Against Cancer will not provide alcohol during any stage of the Challenge. It will be the responsibility of the individual participant to be legally fit to take part in all stages of the Challenge. Should an accident occur, and any participant be found to have exceeded legal alcohol limits, the charity’s liability insurance will be invalid for that individual and the contract will be null and void.

11 The Highway Code must be obeyed and the wearing of a cycle helmet during the cycle challenge is always compulsory. Cyclists must ensure their bikes are roadworthy and serviced. Hope Against Cancer and Alice Greaves will not be liable for personal injury, death, damage to property or other loss whether arising from accident, cancellation, delay or any other matter beyond their control. Participants should insure against all such possibilities.

12 You will be provided with a cycle shirt for the event and will wear it during the ride.

13 You agree that you will raise for Hope Against Cancer the minimum sum specified in the Challenge information, and you will use all reasonable endeavours to collect and send such minimum sum and all additional sponsorship pledged either to Hope Against Cancer in cash, by cheque or added to an online fundraising page within 4 weeks after the end of the event.

14 You agree that in carrying out all fundraising for the benefit of Hope Against Cancer you will comply with the following requirements:
 14.1 You must make it clear you are fundraising in ‘aid of Hope Against Cancer’ and are not representing Hope Against Cancer
You must not do anything that may harm the reputation of Hope Against Cancer or act in a manner contrary to our values.
For any independent fundraising events that you carry out to raise funds, (e.g. cake sale, pub quiz etc.) you acknowledge that you are carrying such events out in your own capacity. It's your responsibility to organise all aspects of such event and make it clear that such event is run by you "in aid of" Hope Against Cancer and is not run by the Charity. You also agree to make it clear that such event is not "on behalf of Hope Against Cancer" and that Hope Against Cancer will not accept any responsibility or liability for such event. If you wish to use Hope Against Cancer’s logo, please contact the events team who can provide a logo.
14.2 You agree to comply with the following financial procedures:
14.2.1 to pay all money collected on behalf of Hope Against Cancer by cheque, onto an online fundraising page, or passed directly to Hope Against Cancer in cash.
14.2.2 to send to Hope Against Cancer any money you collect within 21 days of you receiving it.
14.3 If you must withdraw prior to the event, you must notify Hope Against Cancer or Alce Greaves immediately and before the registration deadline if possible. This means we may be able to re-allocate your place to someone else. Any money raised will be retained as a donation towards Hope Against Cancer’s work. You must contact your donors to advise them that you will no longer be participating, and if they wish to have their donations returned they must contact enquiries@hopeagainstcancer.org.uk within 21 days of the event, and they will be refunded directly. 
 14.4 You agree not to use fundraising materials other than those supplied to you by Hope Against Cancer for the purposes of the Challenge.

15 Hope Against Cancer will use all reasonable endeavours to ensure that the Challenge takes place so far as reasonably possible in accordance with the information provided. However, Hope Against Cancer and Alice Greaves may make such alterations to the arrangements as they may reasonably require, including (for example), changes to the itinerary.

16 You acknowledge that any photography or film footage taken as part of your participation in the event can be used for promotional and marketing purposes for this specific event and any future Hope Against Cancer events activity.

17 If you choose not to participate in the Challenge or if you do not become eligible to take part in the Challenge or if Hope Against Cancer or Alice Greaves prevents you from doing so, all sums collected or pledged will still be payable to the charity; the entry fee is not refundable in any other circumstances. Any money raised will be retained as a donation towards Hope Against Cancer’s work. You must contact your donors to advise them that you will no longer be participating, and if they wish to have their donations returned they must contact enquiries@hopeagainstcancer.org.uk within 21 days of the event, and they will be refunded directly.

18 This agreement constitutes the entire agreement and understanding between Hope Against Cancer, Alice Greaves and you relating to the event and supersedes all other prior representations, agreements, or arrangements whether written or oral, express or implied relating to the Challenge.

19 This agreement is governed by English law and you and we irrevocably submit to the exclusive jurisdiction of the English courts.

20 By completing and submitting the application form to take part in the Challenge, you agree to be bound by these conditions.
